Description: Our growing physical therapy practice is seeking a highly motivated and efficient Office Administrator to join our team. You will play a vital role in ensuring the smooth day-to-day operations of our clinic, providing exceptional customer service to our patients, and supporting our therapists.

Our growing physical therapy practice is seeking a highly motivated and efficient Office Coordinator to join our team. You will play a vital role in ensuring the smooth day-to-day operations of our clinic, providing exceptional customer service to our patients, and supporting our therapists.

Responsibilities:

  • Athlete Care & Scheduling:

    • Greet patients warmly and professionally, managing the front desk efficiently.

    • Schedule appointments via phone, email, and online platforms.

    • Verify patient insurance eligibility and benefits (when necessary)

    • Collect payments and manage patient billing inquiries.

    • Prepare patient intake forms and update medical records (EMR).

  • Administrative Support:

    • Provide calendar and scheduling support for therapists and upper management.

    • Manage communication with patients and referring physicians via phone, email, and fax.

    • Process paperwork, including referrals, authorizations, and insurance claims.

    • Maintain accurate patient files and ensure all documentation is compliant with HIPAA regulations.

    • Order and manage office supplies and equipment.

  • Additional Responsibilities:

    • Assist with marketing and social media initiatives.

    • Maintain a clean and organized office/clinic environment.

    • Perform other administrative duties as assigned.

  • High school diploma or equivalent, with a minimum of 2 years of administrative experience in a healthcare setting preferred.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Excellent written and verbal communication skills with strong interpersonal abilities.

  • Ability to prioritize multiple tasks, manage deadlines, and work independently in a fast-paced environment.

  • Strong organizational skills with a keen eye for detail.

  • Positive attitude, professional demeanor, and a commitment to providing exceptional customer service.

  • Basic understanding of medical terminology and insurance billing a plus.
