Description: Our growing physical therapy practice is seeking a highly motivated and efficient Office Administrator to join our team. You will play a vital role in ensuring the smooth day-to-day operations of our clinic, providing exceptional customer service to our patients, and supporting our therapists.

Our growing physical therapy practice is seeking a highly motivated and efficient Office Coordinator to join our team. You will play a vital role in ensuring the smooth day-to-day operations of our clinic, providing exceptional customer service to our patients, and supporting our therapists.
Responsibilities:

Athlete Care & Scheduling:
-
Greet patients warmly and professionally, managing the front desk efficiently.

Schedule appointments via phone, email, and online platforms.
-
Verify patient insurance eligibility and benefits (when necessary)
-
Collect payments and manage patient billing inquiries.
-
Prepare patient intake forms and update medical records (EMR).

Administrative Support:
-
Provide calendar and scheduling support for therapists and upper management.

Manage communication with patients and referring physicians via phone, email, and fax.

Process paperwork, including referrals, authorizations, and insurance claims.

Maintain accurate patient files and ensure all documentation is compliant with HIPAA regulations.

Order and manage office supplies and equipment.

Additional Responsibilities:

Assist with marketing and social media initiatives.

Maintain a clean and organized office/clinic environment.
-
Perform other administrative duties as assigned.

High school diploma or equivalent, with a minimum of 2 years of administrative experience in a healthcare setting preferred.

Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Excellent written and verbal communication skills with strong interpersonal abilities.

Ability to prioritize multiple tasks, manage deadlines, and work independently in a fast-paced environment.

Strong organizational skills with a keen eye for detail.

Positive attitude, professional demeanor, and a commitment to providing exceptional customer service.

Basic understanding of medical terminology and insurance billing a plus.
